- All bookings made are subject to these terms and conditions and by making a booking (paying your deposit) you are accepting these Terms and Conditions on behalf of yourself and all persons who will be staying in the accommodation.
- Bookings may be subject to additional terms and conditions which are specific to unique packages. Every now and then a variation to these may be applicable to special packages or offers.booked. These terms and conditions may relate to items such as payments, deposits and cancellations and you should confirm the exact conditions before booking.
- Once you have made your booking, make sure to check the Room or Package inclusions on your Booking Confirmation email to be certain of the specific details that apply to your unique booking.
- Hamilton Island reserves the right to modify or supplement at any time all or part of these Terms and Conditions. In this case a new version of the General Terms and Conditions will be available on the site with the effective date. Guests are advised to regularly consult the General Terms and Conditions to be aware of any changes.
Hamilton Island minimum age requirement
All persons under the age of 18 must be accompanied by a responsible adult such as a parent, step-parent, guardian who has parental rights and responsibilities for the under 18 year old person. If a person is found to be under the age of 18 and is not accompanied by a responsible adult, Hamilton Island Enterprises Limited (HIE) may cancel the person’s booking and ask them to leave the island immediately, with the full booking amount being forfeited to HIE under this condition.
Beach Club accepts guests over the age of 18 only.
qualia accepts guests over the age of 16 only.
Arrival details
For any persons arriving to stay overnight on Hamilton Island, we need your Arrival Details as soon as you have them so that we can do our best to have your room ready on time. We will email you closer to your holiday to obtain these details or you can email us on vacations@hamiltonisland.com.au.
Check-in / Check-out
Check-in is 2.00pm. Check-out is 10.00am.
We recommend you pack a change of clothes, swimmers, book, sunscreen and sunglasses in your hand luggage so that you can enjoy some pool or beach-time while you wait for your room to be ready.
Flight bookings with Hamilton Island Holidays
If your flights have been booked and paid for directly with the Hamilton Island Holidays, your flight itinerary and e-tickets will be attached to your first confirmation email. It is important that you check your flight itinerary details and spelling of all passenger names as soon as you receive your e-tickets. If any information is incorrect please email us as soon as possible on flights@hamiltonisland.com.au.
Flight e-tickets
Please print your e-tickets and put them in a safe place, ready to take with you to the airport. You may be required to present this document upon check-in and airport security checks. Should you misplace your tickets, please email flights@hamiltonisland.com.au and request new copies.
Flight cancellations and changes
Flights purchased are subject to the terms and conditions of the airline, including applicable fees and surcharges for any amendments or cancellations. If you need to make any changes to your flights, please email us as soon as possible on flights@hamiltonisland.com.au.
If you have booked flights directly with the airline you will need to contact them for any amendments or cancellations.
Virgin Australia Velocity Points

Regional Local Packages
If you have booked our Regional Locals Package including return ferry transfers, please refer to the information below.
- If your booking is for two or more adults, all adult ferry transfers are included in the total package rate (ie. extra charges for the additional adult ferry transfers are included in your total per person package price)
- If your booking is for one adult and one child, the ferry transfer for one child is included as part of your package
- If your booking is for one adult and two children, you will be required to purchase an additional ferry transfer for the second child (or any additional children). Children 12 years and under stay and eat free on Hamilton Island, however Cruise Whitsundays operates privately and therefore only two ferry tickets are included in this package

Third party promotions and prizing
Hamilton Island room nights cannot be purchased for the purpose of third party promotions and prizing.
Travel Insurance
We recommend purchasing travel insurance to cover cancellations, travel delays and other unforeseen incidents and accidents. We encourage you to read the insurance terms and conditions to ensure you’re covered for your planned travel.
Security Deposits
- You must provide a credit card for pre-authorisation or imprint when you check-in.
- This authorisation may be used to cover incidental items including but not limited to telephone charges, security bond or deposit for any breakages or damage incurred during your stay or cleaning charges in excess of the normal level of cleaning.
- The pre-authorisation process validates your credit card, and protects both the cardholder and merchant from increasing fraud incidents.
- The pre-authorised amount is set aside by the card issuer for a period of up to 14 days from the date of pre-authorisation and the pre-authorisation will affect your available funds balance or spending limit. For more information on this practice please contact your card issuer.
- Once a pre-authorisation has been made, HIE cannot release, remove or lower the authorised amount, until we process the final account on departure. This is a restriction imposed by the card issuer, and cannot be negotiated.
- Where a credit card is not available a minimum $200.00 cash deposit will be required on check-in. (The actual amount required may be higher at some Participating Properties)
Third Party Products and Services
- Third party products or services, eg. airfares, are sometimes sold together with accommodation provided by HIE. In such circumstances the third party is entirely responsible for supplying the products or services to you and any involvement HIE has in facilitating your booking with the third party is as the third party's agent. HIE is in no way the supplier of the products and services and to the extent permitted by law HIE is not liable for any failure by the third party to provide the products or services, nor for any act, error, omission, default or negligence of the third party
- All third party coupons, vouchers, receipts and tickets are issued subject to the terms and conditions specified by those third parties
- HIE does not warrant the accuracy of any information, statements or representations made by third parties.
Promotional Misprints
Hamilton Island Enterprises Limited (HIE) endeavours to ensure that all prices listed on their website are accurate and up-to-date. If we discover an error in the price of any offer you have booked, we will inform you as soon as possible and give you the option of cancelling it, or reconfirming the booking at the correct price (in the case of a price error). If we are unable to contact you, the booking will be treated as cancelled and if you have already paid you will receive a full refund.
Release, indemnity and proportionate liability
- To the extent permitted by the law, you agree to release, indemnify and hold harmless, HIE and its current and former officers, employees, contractors, sub-contractors/consultants (including their respective employees and contractors) and agents against, from and in respect of all expenses, costs, liabilities, claims, actions, proceedings, damages, judgments and losses of any kind whatsoever (including but not limited to consequential and economic losses, property loss/damage and damages for injury, including personal injury and death) arising out of, caused by, attributable to or resulting from your booking or your stay at the relevant Participating Property except to the extent such expense, cost, liability, claim, action, proceeding, damage, judgement or loss arose out of, was caused by, attributable to or resulted from HIE's negligence, wrongful act/omission or breach of these terms and conditions.
- To the extent permitted by law the aggregate of HIE's liability to you is limited to an amount not exceeding the amount paid by you for your booking.
- Each indemnity in these terms and conditions is a continuing and independent obligation and survives the termination or expiry of these terms and conditions.
Consumer Law
- To the extent permitted by law, all conditions, warranties, guarantees, rights, remedies, liabilities and other terms implied or conferred by statute, custom or the general law that impose any liability or obligation on HIE are excluded under these Terms and Conditions
- Nothing contained in these Terms and Conditions excludes, restricts or modifies the application of any provision, the exercise of any right or remedy, or the imposition of any liability under the Australian Consumer Law or under any international consumer protection legislation, provided that, to the extent that such law permits HIE to limit its liability, then HIE's liability is limited to:
- In the case of services, supplying the services again or payment of the cost of having the services supplied again; and
- In the case of goods, replacing the goods, supplying equivalent goods or having the goods repaired, or payment of the cost of replacing the goods.
Events Beyond Control
- HIE is not responsible for any loss arising out of any occurrences or conditions beyond its control, including but not limited to acts of terrorism, act of God, defects in vehicles, war, strikes, theft, delay, cancellation, civil disorder, disaster, Government regulations or changes in itinerary or schedule
- All travel documents, observance of laws and government regulations are your responsibility.
Use of Information
- You consent and authorise HIE to collect, use and disclose your personal information for the purposes of administering your booking and providing you with any services associated with your booking
- You consent to information which you have provided to HIE as part of your booking being used by HIE, any of their related bodies corporate for the purpose of informing you about offers and promotions which relate HIE, HIE's related bodies corporate
- HIE will not provide or disclose any information you have provided to HIE or the relevant Participating Property to any person other than a related body corporate without your prior written consent
- Upon request by you and to the extent permitted or required by law, HIE will provide you with access to and/or the ability to correct your personal information however only the person who made the booking will be entitled to access and/or correct personal information pertaining to that booking

General
- The Terms and Conditions are governed by and will be construed in accordance with the laws of the State of Queensland, Australia
- If part or all of any clause of these Terms and Conditions is illegal, invalid or unenforceable then it will be read down to the extent necessary to ensure that it is not illegal, invalid or unenforceable, but if that is not possible, it will be severed from these Terms and Conditions and the remaining provisions of these Terms and Conditions will continue to have full force and effect.

You can book directly with Hamilton Island Travel Pty Ltd ACN 010305781 (Hamilton Island Holidays) which is a wholly owned subsidiary of Hamilton Island Enterprises Limited (HIE) via our websites or directly with our Reservations Team or you can book with a third party travel agent like Flight Centre, booking.com, expedia etc. These are the general terms that apply to HIE owned Hotels and privately managed properties in the Hamilton Island Holiday Homes letting pool. Reef View Hotel General Terms
Adults, Children & Infants
For the purpose of booking accommodation for the Reef View Hotel:
- Adults are classified as 13 years of age and over
- Children are classified as 3 - 12 years of age
- Infants are classified as 0 - 2 years of age.
Age requirement
- Reef View hotel caters to persons of all ages, as long as any person under the age of 18 years is accompanied by an adult or legal guardian.
Reef View Hotel inclusions (when you book direct with Hamilton Island)
- Return Hamilton Island Airport/Marina shuttle bus transfers
- Use of catamarans, windsurfers, kayaks, stand up paddleboards and snorkelling equipment (subject to availability and weather)
- Use of Island Shuttle
- Use of gym, spa, sauna & tennis court hire (subject to terms and conditions)
- Kids Stay and Eat Free (subject to terms and conditions)
- Complimentary WiFi
- Suite bookings include full buffet or a la carte breakfast options daily (T&Cs apply).
- Earn 3 Velocity Points with every $1 spent on Reef View Hotel accommodation.
Room Rates
- Rates can be room-only or with breakfast included
- Rates are based on Single Share (one adult), Twin Share (two adults) or Family Share (two adults and two children 12 years or under staying in existing bedding)
- Extra adults can be added at $60 (for room only rates) or $100 (for bed and breakfast rates) per person, per night in existing bedding as long as the maximum room occupancy (see next section called Maximum Occupancy) is not exceeded, should you wish to include extra bedding a rollaway bed can be added at an additional $45 (for bookings travelling until 31 March 2024, $60 for bookings travelling after 1 April 2024) per person per night
- For Regional bookings, extra adults can be added at $118 per person per night including Cruise Whitsunday ferry transfers
- Additional adults need to be requested at the time of booking and rollaway beds are subject to availability
- Rates are quoted in AUD and include 10% GST
- Rates are dynamic and subject to availability and change without notice.
Maximum Occupancy
- Garden View, Coral Sea View, Two Bedroom Terrace Suites rooms cater to a maximum of four (4) persons, 3 years of age and over, per room
- King Coral Sea View, Reef Suite and One Bedroom Terrace Suites cater to a maximum of two (2) persons, 3 years of age and over, per room
- Reef Family rooms and Presidential Suites cater to a maximum of six (6) persons, 3 years of age and over, per room
- Infants can be over and above the above maximum occupancy numbers, but are on a request basis
- Cots are available on request for infants.
^Kids Stay and Eat Free
- Is available to families staying at the Reef View Hotel
- Stay Free – children 12 years and under can stay free in existing bedding
- Eat Free – children 12 years and under can eat free at Pool Terrace and Sails, when dining with their parents and choosing from the kids’ menu
- Kids Eat Free is for dine in only. (Takeaway/delivery or room service is not part of the program)
Minimum Stay
- If you are booking during Festive Season, a 3 night minimum stay applies ONLY IF your booking includes the 31st December
- If you are booking on a special rate, package or offer, there will most likely be a minimum stay requirement. Check your Booking Confirmation details for clarification
- Stays may be subject to additional minimum night stays, booking dates or availability.
Booking Credit Card Transaction Fees
Not applicable for Reef View Hotel accommodation bookings made on the Hamilton Island website or via the Reservation call centre.
On Island Credit/Debit Card Transaction Fees
A non-refundable 1.25% surcharge applies for all ‘credit’ and ‘tap and go’ transactions made on the island via credit or debit card. Payments can be made fee free via EFTPOS by inserting your card and selecting a cheque and/or savings account at the terminal.
Hamilton Island Sports Club
- Gym Age Restrictions
- 14 and 15 years old for Cardio (must be supervised by a parent or legal guardian)
- 16 and 17 years old – must be signed in by a parent or legal guardian upon arrival to train in the Sports Club unsupervised, for the duration of their stay.
- Spa and Sauna Age Restrictions
- Spa and Sauna restricted to persons 18 years and over
